Administrative Officer (Part-Time)
Job brief
We are looking for a competent Administrative Officer (part-time) to provide administrative support in a well-organised and timely manner and manage communication between the office and internal/external stakeholders.
Responsibilities
Responsibilities include but not limited to the following:
1. Provide administrative support in the TTC Office.
- Preparation of rosters
- Weekly administration of rosters
- Follow-up with those involved
- Vet scripts and bilingual PPT slides
2. Other Administration support including ensuring supplies do not run out, sending of reminders and drafting letters (using templates provided).
3. Photocopying
4. Administration of honorariums
5. Oversee the publicity, registration and organisation of regular programmes.
6. Provide administrative support as and when required by the faculty-in-charge.
Requirements
- Tech-savvy with a good working knowledge of Microsoft Office 365 (Word and PowerPoint) and Google Forms
- Effectively bilingual (verbal and written) in English and Chinese to support both our English and Chinese departments
- Good planning and time management skills
- Strong organisation skills with a problem-solving attitude
- Pays attention to details
- Able to work independently and in a team

Facilities Maintenance Assistant
Reports to the Estate Officer for the following duties and responsibilities:
A maintenance assistant supports the upkeep and repair of facilities, equipment, and systems, performing tasks like routine inspections, minor repairs, and assisting with more complex tasks under the guidance of senior technicians.
Key Responsibilities:
- Performing Routine Maintenance and Repairs:
- This includes tasks like fixing leaks, repairing appliances, replacing light bulbs, and maintaining cleanliness.
- Preventative Maintenance:
- Regularly inspect facilities and equipment to identify potential issues or problems and report them for timely resolution.
- Maintaining Inventory:
- Keep track of supplies, materials, and equipment, ensuring adequate stock levels and ordering replacements as needed.
- Responding to Requests:
- Address maintenance requests promptly and efficiently, ensuring timely resolution of issues.
- Cleaning and Maintaining Facilities:
- Keep facilities clean and well-maintained, including tasks like cleaning floors, dusting, and sanitizing surfaces.
- Monitor the work of all part-time cleaners on cleanliness carried out in general area, faculty offices, pantries, washrooms, classrooms, meeting rooms, plaza, chapel and common areas.
- Following Safety Procedures:
- Adhere to all safety regulations and procedures, ensuring a safe working environment for themselves and others.
- Documentation and Reporting:
- Maintain records of work completed, any recurring issues, and inventory levels, and reporting maintenance statuses to supervisor.
- Supporting the Team:
- Assist other team members as needed, providing support and collaboration to ensure smooth operations.
- Administration
- Collect coins and tokens from washing machines and dryers.
- Read gas, water and electricity meters of residents monthly.
- Housekeeping Services
- Distribute sundry supplies to hostel clusters (beginning of new semester).
- Check cleanliness of hostel clusters, launderettes, rubbish bin centre (weekly).
- Purchase of detergents and cleaning equipment for the cleaners. Requisition of toiletries and paper supplies.
- Oversee the maintenance and cleanliness of all guest rooms and apartments and provide hospitality supplies.
Basic Skills:
- Basic knowledge in areas like plumbing, electrical, and carpentry.
- Time management skills and ability to prioritise tasks effectively.
- Customer service skills.
